2020 – What A Year It Has Been!

As 2020 draws to a close, we wanted to look back on the year and see, both professionally and personally, how far our amazing franchise network has come. I think we can all agree that no-one could have guessed how 2020 would pan out. But in true entrepreneurial spirit, we embraced every challenge, and as a result, our network has had the most successful year to date in our 11-year history.

Below, we focus on a few of the key moments early on in the Pandemic which helped us navigate a way through a challenging year and come out the other side bigger and stronger, and more optimistic than ever.

March 17th

Here we Go – By the beginning of March, it was clear that a lockdown was just around the corner. The team at Pink Spaghetti HQ was ready and waiting with communications to franchisees offering official advice and internal suggestions and tips to help prepare them and their customers.

Our strategy from the outset was all about communication, practical help and emotional support. We published a blog – “Work from home, but do it well” and two newsletters for franchisees to send out to customers. We felt it was crucial to build relationships and communicate well to show customers we were taking a positive and common sense approach to the Pandemic. We also encouraged franchisees to share posts and advice/support in their networking groups to show what customers could be doing as small business owners.

As a work from home network, we also wanted to stress to customers that it was business as usual for Pink Spaghetti.

March 18th

Zoom – as a virtual business, Pink Spaghetti was already used to using Zoom for remote meetings but realised many office-based customers may not be as well prepared. We created a branded video showing people how to create a Zoom account. We encouraged franchisees to share this on social media, in local Facebook groups, networking groups as well as sending as emails.

March 19th

Lockdown #1 – As lockdown began, we created a document for franchisees to get out to their network explaining exactly how they could help businesses during the Coronavirus pandemic.

We also shared a number of useful articles about remote working management and how to run virtual meetings, which we encouraged franchisees to share with customers less familiar with working from home.

We felt we were in a very strong position given that our business model had been working this way for the last 11 years.

We also wanted to highlight other companies offering free help and advice such as a company that was offering free tech to support businesses.

March 27th

Help is On Its Way – We shared information which we felt would be of benefit to many of our franchisees and customers. This was initially for the self-employed only and did not cover directors. It was a taxable grant covering up to 80% of their trading profits over the last 3 years.

April 1st

Positivity – Continuing our determination to spread help and positivity, we created an entire marketing campaign for our franchisees as well as a series of videos bringing together a wealth of ideas and solutions to challenges which customers may be facing. We also set up webinars with our Action Coach to help the network focus on their goals as we navigated through the unknown.

April 20th

The New Normal – Thinking ahead was hugely important as part of our strategy. We put together an initial list of businesses that we felt would be busy when restrictions were eased and who will need help. This allowed franchisees to focus on where they may be able to other businesses and where their services may be needed.

Life After Lockdown

2020 Certainly wasn’t the year we were expecting – but in true Pink Spaghetti style – we approached it head-on and never shied away from any challenges or uncertainties.

It wouldn’t be an understatement to say that it truly brought out the very best in our network of talented franchisees and we will be eternally proud of what we achieved as a group.

We received countless thank you’s from customers who we helped pivot their business and in turn, cemented lasting business relationships and friendships with many of them.

The Pandemic still continues and we have continued to adapt. We can confidently say that we made it through and have become bigger and stronger for it.

Stop, Drop & Disconnect

Calling out to all email addicts, social media moguls, Teams meeting Tzars and serial phone callers! Have you spent this year working seemingly longer hours or finding work slipping into your relaxation time? A trait we are somewhat all guilty of at some point or another is not knowing how or when to truly switch off.

 

Working whilst you are meant to be relaxing can affect all aspects of your life, from interpersonal relationships to your physical and mental health. So much so in fact, that in May 2019, the WHO (World Health Organisation) determined that time out from business is absolutely crucial in preventing work related burn out. When you consider that the above statement was written long before an unexpected pandemic which has seen large swathes of us work from home for longer and under more pressure, then the importance of its core message really hit home.

So as Christmas approaches us at what seems like a lightning speed in comparison to the rest of the year, we thought it would be a great time to talk about taking a break over the holiday period and how to ensure that you manage to do this successfully.

Turn panic into positivity.

For some of us, the mere thought of taking time off instils panic into our hearts. What if something goes wrong? What if I miss out on an opportunity? What if my customers expect me to be there? It’s almost as if we expect everything to go wrong the very moment we turn away.

In reality this is the thing that most hinders us from really taking time off work, so perhaps it’s time we adjusted our attitude towards time off in the first place? Instead of focussing on the negatives, lets look at all of the positive things we will gain from being well rested.

You’re never going to avoid a fuller inbox come January but at least after some well-deserved rest you can come back better, stronger, and ready to face the new year head on.

Manage their expectations.

Much of the preventable panic around taking time off comes from the fear that you will be failing to meet someone else’s expectation – so nip that in the bud and cut yourself some slack.

Ensure that you make sure your colleagues and clients know when and how long you are away for and provide them with deadlines for work completion before you leave. If you have a website or social media page, then include this information in banners or pinned posts at least 1 week beforehand. By giving them adequate notice, you’re allowing them the freedom to make plans for their own time also.

Set your email out of office, telephone voicemails and social media account replies to clearly state when you are off and when you will be returning to work so that anyone who does contact you is given all of the correct information and knows what to expect.

Schedule and automate where possible.

Thanks to modern technology there is a whole heap of solutions for automating tasks on a short-term basis to allow us to take time away. If there is something vital that needs doing during the period you had scheduled for downtime then investigate ways of automating this beforehand.

Social media posts can be scheduled using apps such as Hootsuite and many others, allowing you to maintain a social media presence whilst being present in your own family on Christmas day. Calendar and meeting invites can be managed with apps such as Calendly without you having to approve things adhoc and auto email clients can send out newsletters at specified times.

If all else fails and you still feel that automation is not enough then you could even look to hiring virtual PA services or similar, to manage your media for you. A small cost for a large personal gain.

Step away from the smartphone.

Perhaps the worst offender when it comes to dragging us back into work mode, the mobile phone. Did you know that on average we pick up our phones around 70-100 times per day? An unfortunate side effect of modern technology that, with the seemingly never-ending stream of notifications and phone pings, is difficult to break.

Of course, if you have a separate work device then this is a simple problem to deal with. Set all of those out of offices and then turn it off and lock it away until your vacation is over. Problem solved!

How do you separate work and relaxation when your work device is your main device though? Settings! Settings! Settings! Most of the apps we now use, especially those designed for the business world such as Outlook, Teams, 365 etc all have time management settings that allow you to designate away time from business. If there isn’t a specific function, then there is always the option to simply turn off notifications for an app meaning that you should be able to take time out without constantly being nudged by emails.

Take some time before your break to get to grips with what notifications you’re getting and what options you have for stopping them so that you can effectively switch off from the professional side of your smartphone.

Plan your return.

No vacation is ever going to be effective if you immediately throw yourself back into work full throttle.

Be realistic about what those first few days back will look like. Will you have an overflowing inbox? Will you need to catch up on orders? Will you need to dedicate time to a specific project? Perhaps you might just want a couple of slower days to ease you back in or allow you to spend a little more quality time with loved ones.

However you choose to come back and whatever the reason, again ensure it is communicated clearly in advance and that way you will be able to glide back into work without undoing all of the benefits of taking the holiday in the first place.

It’s been a long and strange year, for all of us and if there was ever a specific year to take time out then it has been this one. Some of us will be looking forward to seeing loved ones for the first time in a while, some of us might just be looking forward to having focussed time with those closer to home, it doesn’t matter what our plans look like – all that is important is that we make it count.

If there is one piece of advice we can give around the subject of taking time out from work, it is to remember that not one person has ever been remembered for how quickly they replied to an email or for their ability to complete work projects on Christmas morning. You deserve time off as does everyone else that works alongside you and all of the clients you cater to.

2021 – Planning Makes Perfect

So here we are at the end of another year, and what a year it has been! I don’t think any amount of business planning 12 months ago could have prepared businesses for the testing times that followed, and we should all use this year as a testament to our own strengths and resilience. Of course, this test isn’t fully over yet but as businesses, we are now older, wiser, and more aware of what kind of challenges lay before us for 2021. Which is why we’re proposing to make 2021 the year of the plan!   

Now we’re not saying that nothing will ever take us by surprise or professing to know what happens next as the country tries to regain control over normality but we are certain that by planning ahead we can mitigate some of the potential pitfalls and move towards clear goals and milestones.

Never made a business plan before? There is hundreds of resources available online for you to gain an insight in how to create your 2021 plan and below is our quick, fail safe guide on what questions you need to ask about your business when setting your end of year goals.

Why are you here?

Sustaining a business is hard, and in the midst of the day to day tasks and other external distractions it is all to easy to forget why you even started your business in the first place. Often, just answering the simple question; “Why did I start my business?” can remind us of our original intentions and refresh our drive and passion for the year to come.

What do I want?

Being able to visualise your end goal is one of the most powerful tools in business planning and we’re not just talking about the ultimate retirement goal, even just the goal for the end of the year or for 5 years time is suitable. You may have multiple little visual goals in mind or just one, there is no limit on how many you can have but by confirming your goals you will gain direction and a boost of inspiration on how to get there.

Who am I?

A mission statement for your business is an absolute must! What does your business do and what makes it different to others? Knowing this will allow you to form goals and measure your long term success.

What are your 2021 goals?

Time to list those things you ant to achieve in 2021, no matter how big or small it is – if you want it checked off the list by the end of the year then make sure it is in your plan. Also remember to make sure they are SMART goals; Specific, Measurable, Realistic and the Time-based goals so that you can track your progress throughout the year.

What does my business do?

Time to get 100% clear about what product/service your business is offering. Are you able to clearly describe your product or service, what is your USP, how does your product or service benefit the customer, how will you deliver it? By making sure that you know your product and exactly how you are going to deliver it you will be able to market it more effectively.

Who is my competition?

Competitor analysis is key, work out what they do well and where they fall down – can you offer something different?

What is the cost?

Know your prices and make sure that they are working for you. Remember that for you to make a profit your prices must be accurate and given all of the changes in 2020 it is likely that some of your internal costs may have changed. Perfect time for a cost evaluation.

What are your strengths and weaknesses?

Being truly honest about what you do well and what you don’t will mean that you are more aware of your limitations and able to avoid potential business risks.

Who is the audience?

Truly great businesses don’t spend vast amounts of time and money marketing to everyone, they put planning into place that allows them to truly define their business audience and target the relevant people only. Work out who your ideal customer is and plan your marketing to play to their interests.

What’s my budget?

The nitty gritty part, you must know your numbers! Make sure that your financial reporting is in good stead so that you can put together a personal budget for the year. Profit & loss, cash flow and balance sheets all need to be accurate so that you can correctly plan your spending for the year.

Plan those projects!

Any business projects you had for the year, write them down and ask yourself who is undertaking them, when they will be doing it and what they need in order to complete it. By doing this you will be able to accurate assess your resources and adjust ready for the project to run smoothly.

Break it down!

Now that you’ve done all of the above you should be able to create a month by month plan for how your business will be progressing towards it’s goals. Naturally, you can then break these down further into weeks if needed.

So there you have it, you’ve created a full year plan for 2021 and whilst it might not protect you from every unexpected change, it will certainly give you a definitive direction and motivation for the year ahead.
